What is GreenReach Wholesale?

GreenReach Central operates a wholesale marketplace where restaurants, retailers, and distributors shop from multiple farms in one order. Your Light Engine installation automatically shares your inventory with this marketplace, and you receive wholesale orders directly in your dashboard.

How It Works
  1. Your Light Engine installation shares available inventory with GreenReach Central
  2. Buyers browse products from all connected farms in one marketplace
  3. When a buyer orders your products, you receive a notification
  4. You verify you can fulfill the order (or decline if inventory changed)
  5. You prepare and pack the order
  6. Buyer picks up or you deliver according to order details

Getting Started

Enable Wholesale

Wholesale integration is automatically enabled on all Light Engine installations. Your inventory is shared with GreenReach Central marketplace every 5 minutes.

To verify wholesale is active:

  1. Open Sync Monitor (sync-monitor.html in your browser)
  2. Check "Connection Status" shows "Connected"
  3. Review "Last Sync Times" → Inventory (should be within 5 minutes)

To configure wholesale settings:

  1. Dashboard (farm-admin.html) → Settings Tab → Integrations Section
  2. Check "Enable wholesale marketplace sync" checkbox
  3. Enter your GreenReach API Key (from GreenReach Central dashboard)
  4. Save settings

Your Farm Profile Is Pre-Configured

Your farm's basic information is already set up in the system. This information is shared with wholesale buyers:

About Certifications

During the touchscreen setup wizard (Step 3: Farm Certifications), you selected which certifications and practices apply to your farm. These checkboxes automatically populate your wholesale marketplace profile:

  • USDA Organic, GAP Certified, Food Safety Certified, Greenhouse Certified
  • Pesticide Free, Non-GMO, Hydroponic, Local, Year-Round Production
  • Woman-Owned, Veteran-Owned, Minority-Owned, Family Farm, Sustainable Practices

Pricing Is Automatic

Wholesale pricing uses a simple markup model. You don't manually set wholesale prices for each product.

Example: Butterhead Lettuce

If your retail price is $4.00/head and wholesale discount is 40%:
Wholesale price = $4.00 × (1 - 0.40) = $2.40/head

How Buyers Use the Marketplace

Note: Buyers access GreenReach Central marketplace (separate platform). This section explains the buyer experience so you understand the order flow.

Buyer Registration

Restaurants and retailers register as wholesale buyers on GreenReach Central:

  1. Visit GreenReach Central marketplace
  2. Click "Sign In / Register" button
  3. Select "Register" tab
  4. Enter business information:
    • Business name
    • Contact name and work email
    • Business type (restaurant, retailer, caterer, distributor, meal service, food co-op)
    • Business postal code and province
  5. Create password
  6. Submit registration

Buyer Shopping Experience

When buyers browse the marketplace, they see products from all connected farms:

  1. Browse products by category
  2. View farm details and certifications
  3. Add items from multiple farms to cart
  4. At checkout, see which farms fulfill each item
  5. Pay once through Square payment system
  6. GreenReach sends order notifications to each farm

Receiving and Fulfilling Orders

Order Notification

When a buyer orders your products, you receive email notification with order details.

View Orders in Dashboard

Open wholesale-farm-orders.html in your browser to see all incoming orders. The dashboard shows:

Order Verification (24-Hour Window)

You have 24 hours to verify you can fulfill the order. Review the order in wholesale-farm-orders.html and choose one of three actions:

Option 1: Accept Order

  1. Confirm you have all items in requested quantities
  2. Accept the order
  3. Inventory is reserved for this buyer
  4. Buyer receives confirmation

Option 2: Modify Quantities

  1. Adjust quantities for items you can provide
  2. Example: Ordered 50 heads lettuce, you have 40 heads available
  3. Add note explaining changes
  4. Submit modifications
  5. Buyer receives notification and can accept or cancel

Option 3: Decline Order

  1. Select reason (insufficient inventory, weather damage, equipment failure, other)
  2. Add optional note
  3. Decline the order
  4. GreenReach may find alternate farm to fulfill
24-Hour Verification Deadline

If you don't respond within 24 hours, the order is automatically canceled and buyer receives full refund.

Fulfilling the Order

After accepting an order:

  1. Harvest products (if not already harvested)
  2. Wash, trim, and pack according to buyer specifications
  3. Label packages with buyer name and order number
  4. Store at proper temperature until pickup
  5. Coordinate pickup with buyer

Order Pickup

When buyer arrives for pickup:

  1. Verify buyer identity
  2. Load products into buyer's vehicle
  3. Confirm pickup in system
  4. Payment is processed automatically through Square

Payment Processing

How Payments Work

GreenReach uses Square to process all wholesale payments:

  1. Buyer Pays: Credit card charged when order is placed
  2. Commission: GreenReach collects 12% commission for marketplace services
  3. Your Payment: You receive 88% of order value
  4. Processing: Square handles payment splits and commission distribution
Payment Example

Buyer orders $100 worth of produce from your farm:

  • Buyer pays: $100.00
  • GreenReach commission (12%): $12.00
  • You receive: $88.00
  • Commission covers: payment processing, marketplace platform, buyer acquisition, order coordination
